2. What this website does and does not do
2.1 This is an information website. You do not need an account and there is no login, shop, newsletter sign-up or comments facility.
2.2 We do not use analytics, advertising, social media or tracking tools, and we do not load fonts, scripts, maps or videos from other companies. See our Cookies page for the single strictly necessary cookie we use.
3. Information we collect, why, and our lawful basis
| Information | Why we use it | Lawful basis (UK GDPR) | How long we keep it |
|---|---|---|---|
| Contact form: your name, email address, telephone number (optional), topic, how you heard about us and message, plus anything else you choose to write. | To read and reply to your enquiry and, if you become a client, to start providing services. | Legitimate interests (answering enquiries from people who ask us to), or steps at your request before entering a contract. | We keep enquiries that do not lead to a contract for up to 12 months, then delete them. Enquiries that become a contract are kept as part of our client records for the period needed for that contract and our legal obligations. |
| Spam protection: a one-way (hashed) version of your IP address and a count of recent form submissions. The IP address itself is not stored for this purpose. | To stop automated abuse of the contact form. | Legitimate interests (keeping our website secure). | About one hour, then it is deleted automatically. |
| Security token: one strictly necessary session cookie that protects the contact form. | To make sure form submissions come from a real visitor to this site. | Legitimate interests. Strictly necessary, so no consent banner is needed under PECR. | Until you close your browser. |
| Server logs: your IP address, the page requested, date and time, browser type and response code, held by our web hosting. | To keep the website running and secure, and to investigate faults or attacks. | Legitimate interests. | Up to 30 days, then deleted or overwritten. |
| Emails and calls to us (outside the form): the contents and your contact details. | To deal with your request. | Legitimate interests or contract. | As above. |
3.1 Please only give us information we need. Do not put passwords, payment card details or sensitive personal data (such as health information) in the contact form.
3.2 If you give us information about another person (for example a colleague), please make sure they are happy for you to do so.
3.3 We do not use your information for marketing unless you ask us to contact you about our services, and we do not make decisions about you by automated means.
4. Who we share information with
4.1 Contact form messages are sent by email from this website's server to our mailbox at sales@helpdesq.co.uk. They are then handled by our staff and stored in our email system (Microsoft 365), which acts as our processor under a data processing agreement.
4.2 This website is hosted by our partner Allware Systems, which shares our Newdigate address and operates under our instructions and our information security controls. Microsoft provides our email, and all of them may only use your information on our instructions. We do not sell or rent your information.
4.3 We may disclose information where required by law, to protect our legal rights, or to prevent fraud or crime.
4.4 Some of our suppliers may process data outside the United Kingdom. Where they do, we rely on the UK adequacy regulations, the UK International Data Transfer Agreement or Addendum, or equivalent safeguards.
5. Security
5.1 We protect this website with encrypted connections (HTTPS), strict security headers, input validation, rate limiting and regular patching, and we operate under an ISO 27001 information security management system. No website can be guaranteed completely secure, so please keep the details you send to a minimum.
5.2 If we ever have a personal data breach that is likely to put your rights at risk, we will report it to the ICO within 72 hours and tell you where the law requires.
6. Your rights
6.1 Under UK data protection law you have the right to: be informed about how your data is used; access a copy of your data; have inaccurate data corrected; have your data erased; restrict or object to our use of it (including where we rely on legitimate interests); and data portability where it applies.
6.2 To use any of these rights, contact us using the details in section 1. We may ask you to confirm your identity and will normally reply within one month, free of charge.
6.3 You can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put things right first.
